About Personal Information

Privacy Policy

Given that it’s our social duty to protect all personal information we handle in our business activities, we will handle such information in accordance with all laws, regulations, and other rules pertaining to the protection of personal information.
This document sets forth our privacy policy. It will be observed across our company and continuously reappraised and improved to ensure the full protection of personal information.

  • We will carry out the duties specified in the Personal Information Protection Act and other relevant laws and regulations, ministerial guidelines regarding the protection of personal information, and all other rules in addition to this Privacy Policy.
  • We will specify the purposes of personal information collection within the scope of our legal business activities and obtain, use, and provide personal information by appropriate and fair means to the extent necessary to achieve such purposes.
  • We will endeavor to keep personal information in our possession accurate and up-to-date to the extent necessary to achieve the specified purposes of use and take all necessary and appropriate security measures to prevent its unauthorized access, leakage, loss, unauthorized alteration, or the like.
  • To ensure the fulfillment of this Privacy Policy, we will establish internal systems, provide internal education, and continuously maintain and improve this policy.

Guidelines on the Protection of Personal Information

In light of the importance of protecting personal information in an advanced information-network society, we established “The Pack Corporation Privacy Policy” and have been working to fulfill our commitments across our company.
Given below are detailed explanations on how we handle personal information.

Basic Principles

We will specify the purposes of use of personal information in as concrete a manner as possible and handle personal information within the scope of the specified purposes unless the prior consent of the subject of information is obtained or exceptional treatment is required by laws and regulations.

Acquisition and Purposes of Use

We will obtain personal information by appropriate and fair means.

  • When we obtain personal information, we will announce the purposes of use on this website or elsewhere in advance, or let the subjects of information know the purposes or announce them promptly after acquisition unless exceptional treatment is required by laws and regulations.
  • When we obtain personal information directly from the subject of information, we will specify the purposes of use and other matters in advance. However, with regard to business cards, telephone numbers, and email addresses received in day-to-day business activities, information stated on order sheets, quotations, and the like, and information received in connection with inquiries and complaints to our company or for identity verification purposes, we will obtain and use the personal information without specifying the purposes of use set forth below individually only when such purposes are obvious based on the circumstances under which the information was obtained.

  • Personal information regarding job applicants obtained directly from them or through our associated job information websites will be used only for purposes related to recruiting activities, such as screening, communication, and notification. However, personal information regarding pre-hires will be used as personnel and labor management data after their regular employment has been established.
  • When we obtain personal information from telephone directories or other public sources, we will do so to the minimum extent necessary to send information regarding our products and services to the subjects of information by mail, courier, telephone, or otherwise, and if a request for the correction or deletion of such information is received from the subject of information, we will respond promptly to the extent reasonable and appropriate for our business operations.
  • If we are entrusted with work involving the handling of personal information, we will use the personal information only for the outsourcer’s specified purposes of use or those contained in its work instructions to us.

Management of Personal Data

We will endeavor to keep personal data we handle in our business activities accurate and up-to-date within the scope of the purposes of use and implement all necessary and appropriate security measures.

  • We will implement reasonable and appropriate security measures to prevent the loss, destruction, unauthorized alteration, or leakage of personal information, including protection against unauthorized access and computer viruses.
  • If we entrust another company with the creation and processing of personal data or with the handling of personal information with regard to work falling within the scope of the purposes of use, we will select an appropriate contractor, conclude necessary agreements with it to ensure the protection of personal information, and supervise the contractor properly.

Provision to Third Parties

We will not provide personal data to third parties without first obtaining consent from the subjects of information except as otherwise specified by laws and regulations.

Handling of Requests for Disclosure

If we receive a request for disclosure, correction, deletion, or any other action regarding personal data in our possession from the subject of information or his or her agent, we will respond to it to the reasonable and appropriate extent without delay after confirming that the requester is the subject of the relevant personal information.

  • We will disclose information in response to disclosure requests by delivering a printed document, by providing electronic records, or by another means agreed to by the individual in question or his or her agent (“printed document or other means” hereinafter).
  • If, as a result of the disclosure, the retained personal data is found to be incorrect and we are requested to correct, make additions to, or delete it, we will confirm the facts and respond within the scope of our specified purposes of use.
  • If we are asked to stop using or to delete personal data for any of the following reasons, we will seek to confirm the facts and respond promptly.
    1. The personal data was inappropriately obtained.
    2. The personal data was or is being used for purposes not previously specified.
    3. The Company no longer requires the personal data.
    4. Personal data requiring special care was or appears likely to be leaked pursuant to Article 2, Paragraph 3 of the Act on the Protection of Personal Information.
    5. Any violation of the rights or legitimate interests of the individual in question has occurred or appears likely to occur.
  • If it becomes clear that retained personal data was provided to a third party otherwise than through appropriate procedures, we will stop providing it without delay.
  • If we are asked by the individual in question to disclose what personal information has been obtained (by appropriate means) from third parties, we will respond promptly, whether by printed document or other means.

How to Make a “Request for Disclosure”

Requests for disclosure should be made at the privacy help desk set forth below. Guidance will be provided by the help desk personnel.

◆Request form

Requests for disclosure require the requester to fill in and send a request form, the types of which as well as method of sending will be explained by the help desk personnel.
In addition, the following documents need to be presented to verify identity. The help desk personnel will explain what as is needed as well as how these documents will be checked.

◆Required documents other than the request form

The following documents are needed to confirm that the requester is the subject of information or, if the request is made by his or her agent, the agent has the authority of representation.

If the request for disclosure is made by the subject of information

A copy of a driver’s license, passport, or other public identification document is necessary. (Health insurance cards are also acceptable.)

If the request for disclosure is made by an agent

In addition to the documents set forth above regarding the subject of information, the following documents are necessary:

  • a. If the agent is a statutory agent
    • A document showing his or her authority as a legal representative is necessary. (A certified transcript of the family register or other certificate of a similar nature, or a certificate showing that the agent has parental authority over the subject of information)
    • A document to verify the agent’s identity is necessary.

  • b. If the agent is an agent in fact
    • A letter of authorization signed by the subject of information is necessary.
    • A document that can verify the agent’s identity is necessary.

◆Request fee

In the case of a request for disclosure regarding the “disclosure” or “notification of the purposes of use” of retained personal data, the specified fee will be charged for each such request. Our help desk personnel can provide further details.

  • * If the fee is not enclosed or of sufficient amount, the requester will be notified. If the full amount is not paid within one week from the notification, the request is deemed invalid and regarded as having never been made.
  • * Once paid, the fee will not be refunded even if the request for disclosure is rejected.
  • * No fee will be charged for requests other than those for “disclosure” and “notification of the purposes of use.”

◆Purpose of use of personal information obtained in connection with requests for disclosure

Personal information obtained from request forms and required documents and the like regarding requests for disclosure will be used only to the extent necessary to handle the requests.

◆Grounds for rejection of request for disclosure

Please note that requests for disclosure will be rejected in the following cases. In such cases, the requester will be notified of the rejection and the reason therefor.

  • The request form or any of the required documents is incomplete.
  • Any of the personal matters provided on the request form is different from any of those written on the required documents, and the requester’s identity cannot be verified.
  • No retained personal data regarding the subject of information can be located based on the request form and the required documents.
  • The agent’s authority of representation or identity cannot be verified.
  • The disclosure would result in a violation of laws, regulations, or the like.
  • The disclosure involves the risk of endangering the life, body, property, or other rights or interests of the subject of information or a third party.
  • The disclosure involves the risk of substantially detrimental effects on the proper conduct of our business.

Establishment of Internal Systems

In order to implement this Privacy Policy, we will establish the following systems in-house:

  • We will appoint a chief privacy officer and at least one privacy manager to ensure the proper management of personal information.
  • We will provide our officers, employees, and other involved parties with education and training regarding the protection and proper management of personal information to ensure its proper handling in day-to-day business operations.
  • We will develop privacy compliance programs pursuant to this Privacy Policy and ensure that they will be implemented by our officers, employees and other involved parties and will be maintained and improved.

The following terms used in this document have the following meanings:

Personal information
Information regarding a living individual that can be used to identify the individual.
Personal data
Personal information that constitutes a database of personal information (i.e., a collection of information including personal information that is systematically structured so that it can be searched from a personal computer or the like or can be easily searched for certain personal information, as specified by Cabinet Order).
Retained personal data
Personal data we are authorized to disclose, correct, add to, or delete; or personal data we stop using, erase, or stop providing to third parties. However, this does not apply to retained personal data whose existence, if disclosed, would harm the public interest or other interests, as specified by Cabinet Order.
Subject of information
The particular individual identified by the personal information.
